REPORTS TO:   Executive Director, Foundation for VBMC

 

SUMMARY: Plans and directs specific programs related to raising unrestricted and restricted funds for the support of Vassar Brothers Medical Center.

Direct Reports: The Development Assistant Associate/Assistant reports directly to this position.  The “research” side of the Research/Grants Administrator also reports to this position.

 

RESPONSIBILITIES AND STANDARDS

Responsibility I

  1. Coordinates all elements of the annual appeal – the bedrock of our development program – including coordinating campaign committee, thematic creation, campaign materials including brochure and letter text, graphics, production and timely mailing.  Directs the creation and segmentation of donors to be solicited. Provides Executive Director with routine tracking of overall campaign results and year-end detailed report providing year-by-year comparison of results by donor category.

Works with ED in developing well written and error free material that relates to campaign text and follow-up letters.

Ensures theme is timely and reflects current environment affecting the hospital specifically or the healthcare industry generally.

Includes AC Committee in all discussions regarding the review, targeting and upgrading of donors and identification of new prospects

Reviews all lists with Executive Director (ED) to determine appropriate gift request based on previous giving level and research indicators relative to income.  This includes also working with the Development Assistant to ensure that gifts are tracked and compared against prior years to ensure donors do not fall through the cracks.

Is the first point of contact between the print shop and any other vendor we are using for the production of the annual mailing, inclusive of list production, design, printing and mailing.

Reviews results regularly and works with Development Assistant to ensure gifts are being recorded and acknowledged on a timely basis.

Provides ED and board members with list of $1k+ donors to whom “thank-you” calls should be made. Crafts thank-you letters for President when special acknowledgements are required.

Ensures that annual donors are included in the Report on Giving; partner with ED in creation of this annual report.

Orchestrates annual Employee Campaign; responsible for design of the appeal; partners with ED in writing content for appeal.

Provides leadership and oversight to NDH Foundation staff on the development and execution of the annual and employee appeals.

 

 

Responsibility II

2.         Provides first line of leadership on all special events, including recognition events and cultivation events aimed at young professionals.

2.1

Oversees efforts with ED, trustees and volunteers in establishing committees assigned to various tasks related to the events and monitors their progress with respect to specific tasks.

2.2

Directs creation and distribution of invitation lists prior to mailing to ensure list is correct and includes people we want to introduce to VBMC. Communicates needed changes to Development Assistant to ensure changes are made to database so final invitation list is 100% accurate.

2.3

Oversees production of materials related to the events (invitations, programs, journals, letters) ensuring accurate instructions are provided to printer relative to design and budget.

2.4

Monitors responses and cross-references with Development Assistant to ensure billing procedures are followed.

Assists the ED in following up on sponsor solicitation.

Provides direction and support to NDH Foundation staff and event committees on infrastructure for golf tournament and annual ball.

Responsibility III

3          Assumes lead role in overseeing the Grateful Patient Program.

3.1

Directs the Research/Grants/Planned Giving Administrator in researching select prospects.

Oversees development and mailing of weekly Grateful-Patient mailer based on patients rated by wealth filter.

Reviews rated patients daily and directs staff and appropriate Administrators to inpatients needing visits.

3.4

Schedules semi-monthly visits for foundation staff to visit nursing units on a rotating basis to talk about importance of identifying grateful patients. 

3.5

Partners with ED and MD board members in talking with select MDs about cultivating grateful patients.

 

Responsibility IV

4          Communicates effectively with Trustees, donors and staff with whom the Foundation has contact.

4.1

Records minutes at Foundation Board meetings and reports on progress in areas of primary responsibility.

4.2

Builds relationships with Trustees by engaging them in Annual Campaign tasks and special events

4.3

Participates in civic activities to represent the Foundation.

Responsibility V

5          Demonstrates regard for the dignity and respect of all patients, family members, visitors and Medical Center personnel as identified in the philosophy of Vassar Brothers Medical Center.

5.1

 Displays a caring and courteous attitude and represents the Medical Center in a positive manner to all persons noted above.

5.2

Promotes and contributes positively to intra-departmental and inter-departmental relationships with no more than two complaints in a six-month period.

5.3

Maintains the confidentiality of employees and departmental information with no infractions. 

5.4

Adheres to departmental and Medical Center dress codes as observed by Supervisor, and wears a VBMC picture identification badge, 100% of the time.

5.5

Maintains a professional demeanor at all times recognizing that the position is seen as an extension of the Chief Executive Officer.

5.6

 Develops rapport with Medical Center employees that enables them to bring concerns freely and with assurance information will be shared confidentially with Chief Executive Officer.

5.7

Demonstrates ability to work well with others to ensure all assigned work duties are completed in a timely and efficient manner.

Communicates effectively at all times to promote inter-departmental and intra-departmental collaboration.

5.9

Demonstrates willingness to assist ED, direct reports and/or to accept additional assignments as requested to support the department's efficiency as observed by the supervisor.

 

JOB QUALIFICATIONS

Education:     BA plus minimum of three years in a marketing, writing or fund raising position.

Experience:   Demonstrated ability to write clearly, concisely and imaginatively.  Demonstrated sales techniques.  Ability to interact well with people.

License:        N/A

PHYSICAL AND MENTAL FACTORS

Physical: Occasionally requires light physical effort as in periods of standing at files or work tables, repeated changes of position within the work routine or prolonged sitting.

Mental:   Some irregularity in hours because of "peak" season work; occasional stress due to periodic or cyclical workload pressures.

 

ENVIRONMENTAL AND WORKING CONDITIONS

Physical surroundings are pleasant and comfortable with no exposure to injury or other health hazards.
