What we are looking for:

A responsible and highly organized Executive Assistant to provide personalized support to an established business owner and keep day-to-day office operations running smoothly for owner's facility and companies. 

In addition to office management and basic admin work, you will work on a one-to-one basis with owner on a variety of other personal and professional development tasks. The office is located in a wellness, art and yoga center; with programs for adults and kids. The work will incorporate the activities of the facility and also extend to clients outside our location. 

The right candidate will be able to manage and activate daily operations with little supervision efficiently and timely, while being able to provide support for various projects and interface with public inquiries/bookings.  While office hours are required, there will be opportunity for some flex work time from home and equally, occasional project-specific evening and weekend work will be required (with advance notice).

  • In the same day, can be on the phone with a high level CEO and take out the trash too!

Responsibilities and Duties to include, but not limited to;

  • ​Managing multiple email inbox influx
  • Weekly meetings 
  • Booking and managing space
  • Retrieve messages, answer calls and return inquiries
  • Working with teachers for art program
  • Support with events and fundraising
  • Handling requests and queries appropriately
  • Taking dictation when needed
  • Posting on FB, Instagram daily for two entities
  • Working with bookkeeper and owner on basic entries and bill payments
  • Maintaining electronic filing system
  • Liaison for owner between workers, clients and public 
  • Assist and support the goal to have a highly organized environment: create policy, procedures, filing, quality control, inventory, etc.
  • Help owner keep facility tidy: refill paper goods, wipe counters, occasional sweep or dust - contributing to a healthful and organized atmosphere
  • Helping with fundraising, events and other projects

Qualifications and Skills;

  • ​Mid to High Level Microsoft Skills (PowerPoint, Excel, Word, Dropbox, Google Docs/Sheets and/or OneDrive) 
  • Technical skills (ability to problem solve basic tech issues, work on emails, social media and calendar planning)
  • Proficient with iPhones, phone systems and other webbased systems
  • Experience with or ability to engage with meeting planning and project management
  • Bachelors or at least 2 years of equivalent experience

  • ​​35 Average Hour Work Week (may vary depending on projects)
  • While office hours are required, there will be opportunity for some flex work time from home and equally, occasional evening and weekend work will be required (with advance notice) for special projects
